Job Description:

We are seeking a highly organized and proactive Administration Executive to manage and streamline our office operations. The Administration Executive will be responsible for overseeing daily administrative tasks, supporting senior management, and ensuring the efficient functioning of the office environment.

Key Responsibilities:

  • Office Management: Oversee the day-to-day operations of the office, including managing office supplies, equipment, and maintenance. Ensure the office environment is clean, organized, and conducive to productivity.
  • Administrative Support: Provide comprehensive administrative support to senior management, including scheduling meetings, managing calendars, and preparing reports and presentations.
  • Communication: Serve as the primary point of contact for internal and external communications. Handle phone calls, emails, and correspondence efficiently and professionally.
  • Document Management: Maintain and organize company documents, including filing, archiving, and retrieving records as needed. Ensure that all documentation is accurate and up-to-date.
  • Event Coordination: Plan and coordinate office events, meetings, and conferences. Arrange travel and accommodation for executives and staff as required.
  • Financial Administration: Assist with budget tracking, expense reporting, and invoice processing. Collaborate with the finance department to ensure accurate and timely financial management.
  • Project Support: Assist with special projects and initiatives as directed by senior management. Provide research, analysis, and administrative support to project teams.
  • Compliance: Ensure that all administrative processes comply with company policies and relevant regulations. Implement and maintain office procedures and protocols.
  • Staff Coordination: Support human resources functions, such as onboarding new employees, managing office attendance, and handling employee inquiries.

Skills and Qualifications:

  • Education: Bachelor’s degree in business administration, management, or a related field is preferred.
  • Experience: Proven experience in an administrative or executive support role, with a strong background in office management.
  • Organizational Skills: Exceptional organizational and time-management skills, with the ability to prioritize tasks and manage multiple responsibilities effectively.
  • Communication: Excellent verbal and written communication skills, with a professional demeanor and the ability to interact with all levels of staff and stakeholders.
  • Technical Proficiency: Proficient in office software applications, such as Microsoft Office Suite (Word, Excel, PowerPoint) and experience with office equipment and management systems.
  • Attention to Detail: Strong attention to detail and accuracy in handling documents, reports, and correspondence.
  • Problem-Solving: Ability to anticipate and resolve administrative challenges and provide solutions in a proactive manner.
  • Adaptability: Flexible and adaptable to changing priorities and work environments.
